Start with reliable books and a clear baseline

Small business tax planning works best when the financial statements reflect actual activity. Reconcile bank and credit card accounts, separate owner transfers from operating expenses, and review loan balances. A loan principal payment generally is not a deductible operating expense simply because cash left the account.

Build a projection before choosing a strategy. Estimate annual profit, owner compensation, household income and taxes already paid. This baseline shows whether a proposed action changes taxable income, payment timing or only the amount due at filing.

Document expenses and reimbursements as they happen

Review ordinary and necessary business expenses with receipts and a recorded business purpose. Vehicle use, travel and mixed personal-business costs need appropriate allocation. A company bank account does not convert a personal expense into a deductible business expense.

A properly administered accountable plan can reimburse qualifying employee business expenses when its requirements are met. This includes substantiation and the return of excess advances. Owners should review their entity type and employee status before applying a reimbursement policy.

Coordinate owner pay, retirement and equipment decisions

Payroll and retirement choices interact. Changing wages can affect employment taxes and the compensation available for plan contributions. Plan design also must account for eligible employees, deadlines, administration and available cash. Coordinate the return preparer, payroll provider and plan administrator before implementation.

For equipment, confirm the business need and placed-in-service date. Compare depreciation choices with expected income and future sale plans. A deduction should improve the economics of an asset the business needs; it should not be the only reason for purchasing it.

Assign a deadline and evidence to every action

Turn the plan into a short implementation register: action, owner, expected benefit, cash requirement, due date and proof of completion. Revisit the register when profit, staffing or ownership changes. At filing, compare the final return with the projection and explain any differences.
