Data Security Policy
Effective October 1, 2026
Purpose and scope
This policy explains security expectations for information submitted to AE Tax Advisors and how to raise a security concern. Read it with our Privacy Policy and your signed engagement agreement. It is a public notice, not a description of every internal safeguard or a substitute for the written information security plan required of tax practices.
Send documents through the client portal
Use the client portal linked on this website or the secure submission method confirmed by your assigned advisor for tax returns, Social Security numbers, identity documents, bank information and other sensitive records. Do not place these details in public website forms, public AI tools, ordinary text messages or unsolicited email. If you are unsure where to upload a document, call us using the number published on this website.
Access, handling and service providers
Client information must be handled for authorized business purposes and subject to applicable confidentiality requirements. Access, storage, transmission, retention and disposal must be appropriate to the sensitivity of the information and applicable law. Third-party platforms have their own terms and security practices; using a vendor does not establish that AE Tax Advisors itself holds a security certification. Ask your advisor about the systems and safeguards relevant to your engagement.
Tax information and authorization
Federal law restricts a tax return preparer’s use and disclosure of tax return information. When a separate consent is required, it must be obtained through the appropriate consent process before the use or disclosure. Visiting this website, accepting website terms, or reading this policy does not supply that consent. This also applies to technology-assisted processing, referrals and marketing where applicable.
Protect your account and verify requests
Use a unique password and enable multi-factor authentication where available. Do not share login credentials. Verify unexpected requests for documents, payments or changes to bank details by calling a previously verified number. We do not need your account password to answer a security inquiry.
Report a suspected incident
If you suspect unauthorized access, a misdirected document, phishing or a compromised portal account, call (631) 614-5762 and email team@aetaxadvisors.com with the subject Security Concern. Describe the issue without attaching sensitive documents or credentials. Do not wait for an email response if an account may be compromised. These channels are not a guarantee of continuous monitoring or a fixed response time.
Incident response and notifications
Suspected incidents require assessment and appropriate containment, investigation and remediation. Any notification to affected people, regulators, the IRS or other parties must follow applicable legal requirements and the circumstances of the incident. This notice does not promise that all incidents can be prevented or that every event requires the same notification.
Retention, limits and updates
Records may need to be retained for tax, professional, contractual, dispute-resolution and other legal obligations. A deletion request does not override required retention. No internet transmission or storage system is completely secure. This policy does not guarantee uninterrupted service, immunity from a breach or a particular audit or certification. Material updates will be reflected on this page.
