Rental Property Tax Preparation Services
Get the property records, depreciation history and owner returns working together. Discuss a defined preparation scope for your rental portfolio.
Rental returns that connect the property records to the owner
Rental property tax preparation involves more than adding rent and subtracting expenses. Acquisition records establish basis, improvements affect depreciation, and ownership determines whether activity belongs on an individual return or an entity return. AE scopes preparation around those connections.
This service is for rental owners with multiple properties, acquisitions or sales, prior depreciation schedules, ownership partners or multistate filings. For a straightforward rental, the first conversation should establish whether the scope and fee are a practical fit.
What the preparation scope can include
Income and operating expenses
Reconcile rent rolls, management statements, deposits and owner-paid expenses. Separate refundable security deposits, prepaid rent and tenant reimbursements according to the facts.
Basis and depreciation
Review closing statements, land allocation, capital improvements, placed-in-service dates and prior schedules. Identify missing depreciation or study changes requiring a separate correction procedure.
Loss limitations and carryforwards
Review available basis, at-risk information, passive activity treatment and prior suspended losses. A deduction appearing on a schedule does not establish that it can offset other income.
Owner and entity coordination
Map properties to their tax owners and applicable returns. Coordinate Schedule E or entity reporting, state filings and owner K-1 handoffs within the agreed assignment.
Documents to gather before preparation
- Prior federal and state returns, complete depreciation schedules and passive-loss carryforwards.
- A property-by-property income statement, reconciled books and manager year-end statements.
- Purchase and refinance closing statements, loan statements, property taxes and insurance records.
- Improvement invoices, dates assets were ready and available for rent, and any cost segregation report.
- Sale closing statements, ownership changes, personal-use days and records supporting participation claims.
Keep each property separate even if one bank account collects several rents. Refinancing proceeds are not a substitute for an income reconciliation, and loan principal payments are not the same as deductible interest.
Example: a new duplex and an older rental
Illustrative preparation scenario. An owner buys a duplex while continuing to rent a single-family home. The older property’s accumulated depreciation must carry forward; the duplex needs its own purchase allocation, improvement ledger and placed-in-service date. The preparer also checks whether owner-paid expenses were already included in the manager’s totals.
The deliverable is a reconciled filing package within the signed scope, with unresolved items identified before authorization. A separate planning review can evaluate whether a study or future change is useful; preparation does not promise a particular tax reduction.
What to confirm before you engage
Preparation and planning
Return preparation reports the year’s activity. A separate planning assignment can evaluate next year’s decisions. Identify each deliverable and the person responsible for implementation.
Fees and timing
The quote depends on entities, properties, states, record quality and prior-year issues. Bookkeeping cleanup, amendments, studies, payroll corrections and additional returns must be expressly included or separately priced.
Review published advisory pricing for context. A planning fee is not automatically a quote for return preparation. Agree on the tax year, forms, filing jurisdictions, review process and document cutoff before relying on a delivery date. An extension generally extends filing time, not payment time.
Rental property tax preparation questions
Can you prepare my rental return if another firm completed the cost segregation study?
Discuss that in intake. Provide the complete study, basis reconciliation and existing depreciation schedules. Study production and tax-return implementation are separate assignments, and a report may require clarification before use.
Does owning an LLC mean I need a partnership return?
No. Federal tax classification depends on ownership and elections, with special rules in some cases. A single-member LLC is often disregarded for federal income tax; a multi-member entity may need partnership reporting unless a different treatment applies.
Can you fix depreciation missed in earlier years?
Identify the years and prior treatment first. A correction may require an amended return or an accounting-method change. That review and filing work should be separately scoped.
Will a rental loss reduce my salary income?
Not automatically. Passive activity, basis, at-risk, personal-use and other limits can affect the result. Review eligibility and prior carryforwards before expecting a current deduction.
