Obtain the handoff package first

Request filed returns, depreciation schedules, carryforward workpapers, entity documents and copies of unresolved notices. Ask the prospective advisor to separate supported balances from numbers requiring reconstruction. Give the prior preparer a clear list of records needed so the transition does not rely on repeated informal requests.

Choose a transition date around the work

A hypothetical investor wants to change firms shortly before a filing deadline. Ask the incoming CPA whether it can complete onboarding in time or whether an extension and staged review are appropriate. Confirm who files anything due during the transition, who answers notices relating to earlier returns and when recurring advisory begins. Avoid paying two firms for the same unassigned project.

Transfer existing cost segregation records

For a single-family or small multifamily rental with a completed study, send the incoming CPA the report, asset export, filed returns and any accounting-method workpapers. Ask whether historical reconciliation is needed before purchasing another report. For a study not yet implemented, identify who takes responsibility and whether the existing provider must answer technical questions. Switching CPAs does not by itself establish the need for a replacement study.

Questions to send every firm

  • What historical schedules must the previous CPA provide?
  • Who owns filings due during onboarding?
  • Are cleanup, amendments and recurring planning separately quoted?

Send the same brief to every provider. Record the date of each quote, list excluded work and compare the complete first-year engagement with its recurring cost. Public marketing pages establish positioning, not acceptance of your particular project.
